Why file setup decides how your print looks

A press can only reproduce what you hand it. The single biggest factor in whether a printed piece looks the way you imagined is not the press or the paper—it is the file. A correctly built file moves through prepress, plating or RIP, and onto the press without surprises. A file with the wrong color mode, missing bleed, or low-resolution images forces a choice between delaying the job to fix it or printing a result that does not match your intent. This guide collects the specs our prepress team checks on every job so you can get them right the first time.

The same fundamentals—CMYK color, 300 DPI images, 0.125" bleed, embedded fonts, and a press-ready PDF—apply whether your piece runs on our sheetfed offset presses, our digital equipment, or our large format machines. Where the requirements differ by method, we call it out below. Because VSL Print runs offset, digital, large format, finishing, and bindery entirely in-house, a clean file lets us keep work moving and offer rush turnaround when a deadline is tight. Color-critical long runs are usually built for offset printing in NYC, which is why plate-ready separations and named spot colors matter from the very first draft.

If you are unsure about any of this, you do not have to solve it alone. Our prepress team preflights incoming files, flags issues such as RGB images or thin hairlines, and can often fix common problems before they reach the press. Sending a question early—before you finalize artwork—is almost always faster than reworking a file after it has been built the wrong way.

File prep by print method

The core specs stay the same, but each process has its own quirks. Here's what changes when your job runs offset, digital, or large format.

Offset Lithography

Our sheetfed offset presses are G7-calibrated, so a CMYK build that follows GRACoL targets reproduces predictably from proof to press. Supply press-ready PDF/X-1a or PDF/X-4 at 300 DPI with 0.125" bleed. For long runs of business cards, brochures, catalogs, and folded collateral, offset delivers the tightest dot gain control and the cleanest spot-color matches when Pantone inks are specified.

Digital (Toner & Inkjet)

Digital is ideal for short runs, variable data, and rush jobs. The same 300 DPI CMYK PDF works, but you can skip plate-related concerns. Because there is no spot-ink unit, Pantone colors are simulated in CMYK; if an exact brand color is critical, ask us to match the closest achievable build or route the job to offset. Variable data (names, addresses, codes) should be supplied as a clean CSV mapped to your layout.

Large Format

Banners, posters, retractable stands, foam board, and signage are viewed from a distance, so 150 DPI at final size is acceptable and 100 DPI is often fine for grand-format work. Build artwork at 100% scale where possible, or note the scale factor clearly (for example "art at 25%, output at 400%"). Keep critical text well inside the safe zone, since grommets, pole pockets, and hems consume edge space.

Bleed is the area of your design that extends beyond the trim line. It ensures colors and images extend to the edge of the paper after trimming. Standard bleed is 0.125" (1/8") on all sides.

All images should be at least 300 DPI (dots per inch) at final print size. Lower resolution images will appear pixelated or blurry when printed.

Always use CMYK for print. RGB is for screens only. Converting RGB to CMYK will cause color shifts, so design in CMYK from the start for accurate colors.

PDF is the preferred format for most print jobs. Use PDF/X-1a or PDF/X-4 for best results. We also accept native files from Adobe Creative Suite applications.

Rich black uses multiple ink colors for deeper blacks. Our recommended formula is C60 M40 Y40 K100. Use for large black areas, not small text.

The safe zone is the area 0.125" inside the trim line. Keep all important content like text and logos within this zone to prevent trimming issues.

If you export a press-ready PDF with fonts fully embedded, you usually do not need to outline them. When supplying native Illustrator or InDesign files, convert text to outlines (Type > Create Outlines) or package the document with all fonts to prevent substitution. Outlined text can no longer be edited, so keep an editable copy for future revisions.

Place die lines, fold marks, and score lines on their own spot-color swatch (for example a 100% magenta line named "Dieline") set to overprint, on a separate layer above your artwork. Do not flatten them into the design. Supply a folding dummy or a quick diagram for anything beyond a simple bi-fold so our bindery sets up panels and creases correctly.

Stock affects how color reproduces. Coated (gloss, silk, matte) stocks hold ink on the surface for punchy, saturated color and sharp detail; uncoated stocks absorb more ink, so colors print softer and slightly darker. We print on weights from text stocks around 80-100 lb up to heavy 16-18 pt cover and specialty papers. If you plan a finish such as soft-touch lamination, spot UV, foil stamping, or embossing, flag it early so we can keep the layout and any special-effect layers ready.

Send a single press-ready PDF whenever possible, or use Package (File > Package in InDesign) to collect the document, fonts, and linked images into one folder, then zip it. Include a note with quantity, final flat and folded size, stock, and finishing. Because production is 100% in-house, standard jobs typically ship in a few business days, and rush options are available when files arrive print-ready.
